This Privacy Policy applies to:

• The Elite Methodology Course
• The AI Coach Platform (included with the Course)
• Mentorship sessions
• Digital learning content
• In-person club visits
• Participant communications

For data protection purposes:

• We act as Data Controller for Participant and Purchaser data.
• Where Participants upload player data into the AI Coach Platform, the Participant (or their organisation) acts as Data Controller, and Via Academy acts as Data Processor.

We do not act as Joint Controller for uploaded player data.

All AI Coach Platform data is hosted as follows:

• Cloud Provider: Amazon Web Services (AWS)
• Region: eu-west-1 (Dublin, Ireland)
• Database: MongoDB Atlas (EU region)
• Static storage: AWS S3 (EU region)
• Encryption: TLS in transit, encrypted storage at rest

We do not store course or AI data in development environments.

Primary data storage is within the European Union.

We collect the minimum personal data required to deliver the Course safely, effectively, and legally.

4.1 Participant & Purchaser Data

• Full name
• Email address
• Organisation (if applicable)
• Telephone (optional)
• Payment confirmation (processed by third-party processor)
• Attendance records
• Mentorship notes
• Course reflections and assignments
• AI Coach Platform login credentials (encrypted)

• Tactical frameworks

4.3 Player Data (Uploaded by Participants)

Players may include minors.

Participants must:

• Have lawful authority to upload the data
• Obtain parental consent where required
• Avoid uploading excessive or sensitive data

We strongly prohibit uploading medical or safeguarding records.

4.4 AI-Processed Data

We process data to:

• Deliver the Course
• Provide mentorship
• Provide AI Coach Platform access
• Generate AI coaching prompts
• Maintain security
• Improve platform quality
• Meet legal and safeguarding obligations

We do not sell personal data.

We do not use customer data to train AI models.

The AI Coach Platform:

• Generates advisory suggestions
• Does not automate legal or significant decisions
• Does not assess competence
• Does not rank or profile Participants
  
• Improve developmental planning

All outputs require human review.

Participants remain fully responsible for coaching decisions.

We share data only with essential processors:

All operate under contractual safeguards.

Where AI or email services operate outside the UK/EU:

• Standard Contractual Clauses are in place
• Transfer risk assessments conducted
  
• Data transmitted via encrypted API
• No permanent overseas storage of course database

Data is securely deleted when no longer required.

The Course is for adult professionals.

We do not collect data directly from children.

Participants uploading minor data must:

• Obtain parental consent
• Upload only necessary coaching data
  
• Avoid sensitive data
  
• Comply with safeguarding obligations

Participants may exercise:
